Program Assistant (2 positions)
Full-Time Based in Chiang Mai, Thailand
Background
The United States Agency for International Development (USAID) requires implementation support to establish and manage the Community Resilience Program (CRP). This program is based in Chiang Mai, Thailand to support activities that will sustain and strengthen community resilience in the region.
About the Role
CRP is seeking a Program Assistant (PA) to provide administrative support to its grant portfolio, overseen by the grants management unit, including ensuring grant files are managed in accordance with project policies and procedures.
The PA is supervised by, and report to, the Grants Manager.
Responsibilities:
- Assists the Grants Management Units (GMUs) with arranging meetings with the partners and organizing events as assigned
- Support GMUs to monitor partners’ activities and activity expenditures by updating activity budget trackers.
- Assists in preparation of payment requests, ensuring all required documentation is included with the payment package and saved in the activity file.
- Assists in the preparation of activity clearance packages, ensuring that all documentation required per the activity clearance checklist has been saved to the activity files and is included in the clearance package.
- Organizes grant activity files in accordance with project policies and procedures and donor compliance requirements.
- Assists in partners due diligence checks and initiates procurement requisition.
- The program assistant will take the lead role in preparing grant closeout documentation for Grant Manger review, ensuring all activity files are complete and ready to be closed out in accordance with the activity file checklist.
- Implements project’s grant policies, processes and procedures for grant documentation across all stages of the activity cycle.
Qualifications and Skills:
- Bachelor’s degree required.
- Strong organizational, management, and administrative skills required
- Experience with NGOs and/or community-based organizations a plus
- Experience managing grants and/or contracts for international organizations a plus
- Ability to work independently with minimal supervision, prioritize multiple work assignments in a fast-paced environment, meet deadlines, and exercise good, professional judgment
- Ability to effectively use computer software, including MS Word and Excel
- General professional proficiency in written and spoken English required
