Department: Laboratory/Entomology

Supervisor:  Head of Entomology Laboratory

Supervisee:  Entomology team

Location: Mae Ramat, Tak Province

Introduction
Shoklo Malaria Research Unit (SMRU) is a field station of the faculty of Tropical Medicine, Mahidol University, Bangkok, Thailand, and is part of the Mahidol-Oxford Research Unit (MORU) supported by the Wellcome Trust (UK).

The main objective of SMRU is to provide quality health care to the marginalized populations living on both sides of the Thai-Myanmar border in the Mae Sot area, Tak Province. This is achieved by the dual activities of research and humanitarian services, with an emphasis on maternal-child health and infectious diseases.

This combination of health care and research makes SMRU unique. The research agenda is driven by the questions we face in our clinical practice and whether clinical or laboratory based, our studies are designed to be of relevance to the population we serve

Tasks and Responsibilities

 

Entomology Laboratory Administrator are to perform administrative duties relating to the Entomology Laboratory and to serve as a communication facilitator for the personnel working in the Entomology Laboratory. A detailed list of the work assignments is given below:

  • Human resources
    • Attend interviews for new staff and facilitate communication between interviewees and interviewers.
    •  Attend yearly appraisal of all staff together with line manager and Head of Entomology Laboratory and facilitate communication between appraisees and appraisers.
    • Manage and follow up staffs leave request
  • Grants
    • Assist with grant applications by translating application documents, filling application forms and prepare application packages.
    • Be aware of all grant line under the Entomology Laboratory including the scope, amount and deadlines and able to suggest grant codes.
  • Procurement
    • Gather procurement request from entomology team members, place order requests and follow-on with procurement team.
    • Be able critic prices, provide support to procurement team to find best manufacturer and reseller.
    • Prepare procurement plan and provisional budget for spending grants.
  • Finance
    • Advance money for the project activities and process the claims including checking all documents meet with the needs of Finance Department.
    • Support team members to do financial issues e.g. prepare documents for money reimbursement.
  • Logistic:
    • Oversee equipment inventory and maintenance for team including:
      • To perform equipment, check and inventory.
      • To liaise with SMRU logistic team, Laboratory data/equipment manager and external service providers.
    • Coordinate with logistic team for repairing Entomology building.
    • Coordinate with logistic team for transportation of staff and supplies.
  • Data
    • Coordinate and monitor data collection, entry and archiving.
    • Assist with data cleaning.
  • Safety
    • Assist the Entomology Laboratory Safety Officer (LSO) with administrative duties.
  • Studies
    • Facilitate communication between the study team (e.g. staff working at the clinics and Entomology team members).
  • External communication:
    • Facilitate communication between Entomology team and local partners.
  • IT:
    • Assist personnel working in the Entomology Laboratory with IT items.
  • Ethics:
    • Communicate with local ethic committees and assist with preparation of ethics documents.

Education

  • A diploma equivalent to a bachelor in Administration or Science would be appreciated but not essential.

Essential criteria

  • Excellent communication skills including English and Thai (both spoken and written)
  • IT skills
  • Strong motivation and working capacities
  • Team spirit and ability to work in a multi-cultural environment
  • Precision and organization
  • Ability to supervise projects/co-workers
  • Autonomy and proactivity

Desirable criteria

  • Ability to speak/write Karen, Burmese or any other relevant language would be highly appreciated.
  • Previous experience in project management
  • Previous experience with laboratory work
  • Previous experience in supervision
