Job description

The Grants Officer provides monitoring and administrative support to Diversity and Inclusion Scholarship Program (DISP) grantees. The individual is the first line of communication for prospective and selective grantees and will provide key support for accounting, invoicing, capacity strengthening and reporting. This position will directly report to the Grants Manager and support the Grant Negotiation and Development process, as well as the post-award management process. This position requires close collaboration with the Admin and Finance team.


Essential Functions:

  • Manages all aspects of assigned grant portfolio throughout all stages of project development, implementation, and closure.
  • Generates and reviews all aspects of grant agreements, including milestone schedules with grantees.
  • Generates and maintains documentation of all grants including grant agreements, grant amendments/addendums, and other grants-related documents until grants close-out and proactively identifies errors and/or missing documentation to ensure compliance.
  • Analyzes grant budget estimates for allowability, allocability, reasonableness, and consistency, and reviews and negotiates with grantees on grant budget line items.
  • Participates in reviewing and analyzing the budgetary sections of proposed sub awards documents submitted to the home office to ensure that the budgetary sections are completed confirming the established guidelines and are compliant with IIE requirements.
  • Reviews sub‐recipient financial statements and reports to ensure alignment of actual expenses and backup documentation; confirms payment requests are aligned with proposed activities; and verifies if necessary IIE prior approval was received. This includes reviewing sub‐recipients' expense reporting and financial account analysis. Performs, reviews, and issues policy-compliant contracts and purchase orders for DISP.
  • Performs other duties as assigned by the supervisor.

 

The Institute of International Education ("IIE") has a hybrid work environment that allows team members a combination of in-office work and telework at any of the locations listed above. 

 

Job Requirements 

Education and Work Experience:

  • Requires a bachelor’s degree and at least five (5) years of related experience, or an equivalent combination of education and experience.

 

Knowledge, Skills and Abilities:

• Ability to recognize and analyze difficult situations and to take appropriate action.

• Ability to complete work assignments within established time frames with a high level of accuracy.

• Very good written and oral English.

• Ability to work independently, in teams, and across departments.

• Strong interpersonal and communication skills.

• Ability to organize and maintain large amounts of detailed information.

• Ability to read and interpret documents.

 

Work Conditions & Physical Demands:

Essential functions are performed in a general office setting with low noise.
