Major functions
ACT Foundation is looking for a Senior Finance Assistant to join its Operations Team. The Senior Finance Assistant will report to the ACT Foundation Executive Director/Finance Team Leader and be responsible for the accurate input of the Foundation’s transactions as well as act as a focal person to support joint programme of the foundation and partners.
Duties and Responsibilities
Receivables
- Prepare and disseminate invoices for the foundation; complete form required by member’s regulation.
- Control collection and filing of all the above invoices/contracts.
- Be the focal person for contacting with partner for documentation completion as required.
Expense reporting system
- Checking expense report and entering data to the Foundation journal template.
- Responsible for the internal expense reporting system (Continia), full understanding of how the system works and be able to solve and correct any issues and to provide input on improvements.
Payment
- Prepare memorandum to request payment for the foundation.
- Prepare payment in bank payment gateway.
- Record all payment transactions of the foundation and partners in the journal templates.
- Keep all accounting entries and work with the Finance Officer, Operations to ensure accurate reporting.
Reconciliations
- Assist the Finance Officer, Operations on advance balance and any Balance Sheet reconciliations as delegated.
ACT Foundation Audit
- With the rest of the audit team ensure all requests for the auditors are answered.
Banking
- Extract all banking documents from the bank account daily and include in the respective directories. Place the credit card statements for employees and FX forward contract documentation in their respective directories.
Meeting Liaison
- Assist in the organization of meetings and training as needed.
- Be a focal person for meeting cash reimbursement and complete documentation.
General
- Be an active member of the Finance team, be prepared to offer suggestions for improvement in the systems and controls.
- Participate in offsite work for meetings/workshops upon required.

Working relationships
- Internally: collaborate closely with all ACT staff, partners and consultants, as relevant.
- Externally: communicate with relevant ACT member organizations, external donors and service providers in relation to finance.
- Reports to the ACT Foundation Executive Director, with a matrix line to the ACT Regional Representative for Asia-Pacific.
Skills and experiences
- Relevant degrees in financial management, accounting or business administration or other relevant educational background combined with professional experience.
- Minimum 3 years of work experience related to finance, accounting and administration.
- Experience in accounting and bookkeeping.
- Interest in working for marginalized communities in the development, peace and humanitarian sector.
- Experience in a non-profit organization desirable
- Ability to work with tight deadlines and to deliver results with limited supervision.
- Ability to function under pressure and to handle multiple tasks simultaneously.
- Excellent organizational and computer skills (including excellent command of spread sheets and financial management software,) Experience with Microsoft Dynamics 365 Business Central is an advantage.
- Self-motivated and with a positive attitude.
- Flexible, innovative and effective in working collaboratively as part of a multicultural, inclusive and gender sensitive team.
- Excellent written and verbal communication skills in English and Thai.
