Job Title: Temporary Donor Support and Agency Coordination Officer

Duration: 2 Months (Start Date: 1 October 2025 – End Date: 30 November 2025)

Reports to: Deputy Director, Fundraising      Location: Bangkok, Thailand 

1. Background

Amnesty International Thailand receives financial support from donors and manages donor relationships and partnerships that require timely communication and efficient handling of inquiries. During this period, the organization requires temporary support to manage donor-related queries, process cancellations, and coordinate with vendors to ensure smooth operations and service delivery.

2. Objective of the Assignment

To provide short-term support to cover an existing staff who is taking extended medical leave in managing donor communications, handling cancellations, and coordinating activities and database with vendors to maintain operational efficiency and donor satisfaction.

3. Scope of Work / Key Responsibilities

The Temporary Donor Support and Vendor Coordination Officer will be responsible for the following:

  • Donor Enquiries:
    • Respond to donor inquiries via email, phone, or other communication channels.
    • Provide accurate and timely information regarding programs, services, and donations.
  • Cancellation Management:
    • Process donor cancellation requests in accordance with organizational policy.
    • Update donor records and ensure confirmations are sent promptly.
  • Vendor Coordination:
    • Liaise with external vendors to ensure timely delivery of data and communications required.
    • Coordinate order placements, follow-ups, and resolve any donor-related issues.
  • Reporting and Documentation:
    • Maintain accurate records of donor communications, cancellations, and vendor interactions.
    • Submit a weekly deliverable report to the supervisor.

4. Deliverables

  • Timely response to 100% of donor inquiries within 3 working days.
  • Accurate processing of all donor cancellation requests within a week.
  • Smooth coordination with vendors with no outstanding or delayed issues at the end of the contract.
  • Final report summarizing activities, issues encountered, and recommendations.

5. Duration and Work Schedule

  • Duration: 2 month (with possible extension based on performance and need).
  • Work Schedule: Full-time, 9.30am to 5.30pm, Monday–Friday

6. Qualifications and Experience

  • Minimum 2 experience in customer service, donor relations, or administrative support.
  • Strong communication skills (verbal and written) preferable bi-lingual English and Thai.
  • Ability to handle multiple tasks and meet deadlines.
  • Proficiency in MS Office, Excel, CRM systems.
  • Experience in vendor coordination is an advantage.

7. Reporting and Supervision

The temporary staff will report directly to Deputy Director, Fundraising and work closely with the Fundraising and Growth team.

8. Payment Terms

  • Remuneration: 30,000 baht
  • Payment Schedule: Monthly basis

9. Confidentiality

The temporary staff is expected to maintain strict confidentiality regarding all organizational and donor information during and after the engagement.

10. Termination Clause

Either party may terminate the contract by providing [14 days] written notice.

This Job Description covers the main tasks and conveys the spirit of the sort of tasks that are anticipated proactively from staff. Other tasks may be assigned as necessary according to organizational needs.
