Position: Global Finance and Administration

Report to: Global Operations Director
Duration: 1 year (including 3-month probation period with possible extension)

Position Summary
The Global Finance and Administration Personnel will be based in Chiang Mai, Thailand and responsible for managing accounting and finance for our word in Thailand, while supporting financial monitoring and reporting for country programs, and contributing to global administration, including HR and finance processes.
Key Responsibilities
1. Thailand (Local) – Finance and Administration
- Ensure financial administration is implemented in accordance with organizational standard procedures.
- Perform daily accounting and bookkeeping of project income and expenditures.
- Process payments, manage petty cash, and review financial documents from field teams.
- Manage the project budget, monitor expenditures, and generate reports.
- Prepare monthly financial reports and bank reconciliations.
- Ensure proper monitoring of payables and receivables, and timely settlements.
- Manage fund requests, payment processing, and reimbursement verification.
- Review vouchers, receipts, and supporting documents for accuracy.
- Maintain accurate financial records and ensure proper documentation of all transactions.
2. Global Finance, HR, and Program Support
Global – Finance Responsibilities
- Provide financial monitoring and support to country programs.
- Support financial planning, budget review, and expenditure tracking across projects.
- Conduct monthly fund reviews and monitor cash flow for each country.
- Prepare and support cash forecasting to ensure timely fund availability.
- Support the preparation and timely transfer of funds to each country.
- Provide financial guidance and support to country staff.
- Train project/program staff on financial procedures and requirements.
- Support budget revisions and forecasting exercises in coordination with the country program staff.
- Support procurement processes, exchange rate application, and SOP implementation.
- Advise and support the country staff on financial management matters.
- Support review of financial terms in project agreements and contracts.
- Identify potential financial risks and suggest practical solutions.
- Provide financial support during activity implementation, including trainings, distributions, and assessments.
- Support audit processes and preparation of project final accounts.
- Maintain proper filing and documentation of financial records, contracts, and invoices.
Global – Program Administration & HR
- Maintain effective coordination with the global and country teams.
- Participate in project planning to ensure financial needs are clearly captured and supported.
- Maintain standardized office inventory and asset management records.
- Ensure all procurement processes are carried out in accordance with established policies and procedures.
- Assist in administrative tasks, including payroll processing and HR support.
- Liaise with relevant teams on staff recruitment, contracts, amendments, and extensions.
- Organize staff induction and ensure understanding of organizational policies and procedures.
- Maintain HR records, including leave, attendance, timesheets, contracts, CVs, and staff data.
- Ensure monthly salary preparation and coordination with Global Programs and Operations Director.
- Maintain confidentiality in all HR-related matters.
Required Qualifications and Experience
Nationality: THAI NATIONAL ONLY
- Bachelor’s degree in Accounting, Finance, or a related field; a Diploma in Accounting (UK–LCCI Level III) is an advantage.
- Minimum of 3 years of relevant experience in financial management, administration, and HR, preferably within a Christian ministry/NGO setting.
- Experience in managing multi-donor budgets, financial reporting, and field-level financial tracking.
- Experience in supporting financial controls for cash-based interventions and reviewing financial documents from field teams.
- Strong financial reporting and documentation skills, with good English writing ability.
- Thai language native (written and spoken) with a strong ability to use formal language with government officials. Professional proficiency in English is required for internal communication.
- Proficiency in Microsoft Office, especially MS Word and Excel.
- Strong organizational, communication, and teamwork skills.
- Ability to coordinate and carry out tasks in collaboration with the global team.
- Flexible and willing to take on additional related duties as assigned.
- Able to carry out tasks as assigned by the responsible supervisor in line with organizational requirements.
Salary Range and Social Benefits:
Approximate Monthly Salary: USD $600 - $620
Social and other benefits: 13 month bonus, public holidays, leave benefits (annual leave, casual leave, sick leave, maternity leave)
