Position Details:
Position Title: Temporary Abu Dhabi Coordinator (April-December 2018)
Contract Period: April-December 2018
Reports to: Senior Outreach Officers
Location: Bangkok, Thailand
To provide administrative and operational support to all functions of the NYU Abu Dhabi activities within the IIE BKK office, and in particular to global outreach activities, data tracking, and reporting.
Essential Duties and Responsibilities:
1. Updates monthly reports with regional outreach activity data. Responsible for ensuring that database is accurately updated in a timely manner
2. Assists with coordinating the planning and logistics for outreach events, including hotel contracts, flights, meals, cultural events, reimbursement of costs, and other general administrative items
3. Supports Outreach Officers with scheduling, travel arrangements, travel expense reporting, and other general administrative tasks
4. Works with Outreach Officers to assemble documents and distribute materials in hard copy and electronically
5. Handles shipment of all outreach materials, tracks materials inventory, and coordinates requests for additional materials
6. Handles general external inquiries by phone or email
7. Processes payments to vendors, expense reports, and other financial duties as assigned
8. Contributes to global outreach planning through research, and materials preparation, distribution, and logistics
9. Assists the Outreach Officers with website updates and social media monitoring
10. Performs other duties and functions as assigned
Education/Experience/Skills Required:
1. Thai National, Undergraduate degree
2. 1-2years of administrative experience
3. Strong English language skills
4. Ability to organize, process, and complete multiple tasks under strict deadlines
5. Strong judgment and ability to solve problems independently
6. Proficient in Microsoft Office (Word, Excel, and PowerPoint) and database management.
7. Professional and mature demeanor
8. Ability to focus on details and a strong commitment to quality
9. Excellent interpersonal and communication skills
