Job purpose
The Hospitality Assistant is working within the Hospitality Department and collaborate with both Premises and Welcome Units composed by a team of 6 staff members. In his-her diverse function, s-he will assist the Weclome (Airline ticketing, visa processing and hotel & seminar organization) and Premises (Facility & Property Management) units in all administrative activities.
Main activities
Premises unit
- Prepares, compiles and submits different document including correspondence, memo, reports and statistics related to his area of work
- Ensures proper electronic and hard copy filing system
- Interacts and communicates with the internal customers in the follow-up of maintenance requests for residences and offices.
- Coordinates with property owners and external contractors to arrange the maintenance orders
- Keeps track of monthly expenses report and processing the invoices relevant to Premises function
- Communicate to ICRC staff members on issues related to their place of work
- Ensures the financial follow-up of bills (invoices and receipts) and budget
- Liaise with Logistics department for purchase and stocks management
Welcome unit
- Elaborates staff lists with personal, passport & visa details and keeps them updated
- Supports travel-related correspondence with headquarters and other delegations
- Supports all formalities related to the establishment/extension of residence visas, permits, licenses etc for expatriates and their families based in Thailand. Is in charge of relevant contacts with Ministries and government offices.
- Assists in the planning and organisation of events/ meeting/ seminars, coordinating with the parties concerned.
Selection requirements and experience:
- University degree or technical diploma or equivalent
- Two years’ work experience in a similar field
- Good command of written and spoken English and Thai
- Good computer skills including spreadsheets and Microsoft offices such as Words, Excel and Powerpoint
