CO/RO Office Administrator Officer (Based in Bangkok)

Plan is an international humanitarian, child centred development organisation, implementing development programs that promote the realisation and fulfilment of children’s rights and the alleviation of child poverty.

 

Position: CO/RO Office Administrator Officer

Assignment Type:  Permanent contract

Location : Based in Bangkok

 

Job background: The CO/RO Office Administrator Officer will be responsible for Front Desk, Office Maintenance by co-operating with building maintenance Team, Petty Cash management to ensure daily cash reimbursemet and balance and also cash monitoring and controlling. To support CO/RO staff in travel arrangment to be in line with Plan’s policies. This job holder will be handle and support both Country and Regional office staff. Moreover,the job holder wil supervise office cleaner to provide services to CO/RO staff e.g. office and dining room cleaning, mailing and couriers,to welcome Plan’s visitors and /or staff’s guests. This position is based full-time in Bangkok.

 

Job purpose:  Receiving incoming calls and messages and forwarding them to respective staff or team members in an absence of the person • Mailroom function, including postal and courier services • Visitor facilitation; inform staff of visitors’ arrival, coordinate with the office cleaner for necessary services assistance • Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments• Facilitates office repair and pest control measures  • Assist the Manager in coordinating with the building management on matters regarding building facilities • Monitoring and manage office and kitchen supplies (PR&PO in SAP is required) • Manage Petty Cash Fund and airfare cash funds; making disbursement in compliance with global Financial Policies• Process domestic travel requests and international travel requests including visa processing, hotel bookings and air tickets, as assigned by the Manager (PR&PO in SAP is required)

 

Qualifications, Skills & Experience: Citizen of Thailand • Three years’ experience in administration or similar functions • Can keep confidentiality matters  • Good Personality and service-mind oriented • Academic degree in relevant area  •  Strong team-building and facilitation skills • Good command of spoken and written English • Proficient computer skills e.g. Microsoft Office ,Internet, Outlook and experience in SAP system is would be advantage • Ability to multitask, prioritize, and manage time efficiently • Experience working with

NGOs is an advantage • Team player, comfortable with working with people from different cultures.
