Introduction
The Borderland Health Foundation (BHF) is a non-for-profit, non-religious and non-political organization, registered in Thailand. BHF links to field stations of the Mahidol-Oxford University Research Unit (SMRU Clinics) which are located in Mae Sot, Mae Ramat, Phro Phra, Tha Song Yang and Umphang districts in Tak province, Thailand. BHF works with marginalized populations along Thailand-Myanmar border by focusing on health care services and public health issues with its focus on malaria, tuberculosis, and maternal and child health.
Job Summary
The Inventory & Procurement Officer manages stock data and supports purchasing activities to ensure smooth operations. Responsibilities include maintaining accurate inventory records, tracking stock movements, and preparing reports for audits and program needs. The role involves organizing and digitizing documents, ensuring proper storage conditions, and helping with procurement by sourcing products and assessing vendors. This position plays a key role in ensuring inventory is well-managed, reports are reliable, and program requirements are met efficiently.
Responsibilities:
- Gather and arrange stock information into computerised database and check document for accuracy and consistency correction.
- Operate the data entry for pharmaceutical, medical supplies and equipment to be centralized in BHF/SMRU computerized system.
- Utilize the inventory computer module to record stock movement, adjust, create, access and distribute stock data information.
- Make use of correct inventory stock to support program's performing and monitoring of activity and finance audit.
- Secure stock data information to maintain the output of precise report and maintain proper storage condition.
- Follow BHF/SMRU operating manual guideline to ensure the quality of inventory management and production of reliable report.
- Carry out store work procedure for documentation process, approval and compliance of standard requirement.
- Convert store paper document into digital file and export spreadsheet report to count and check stock materials.
- Substitute store supervisor for managing the daily operations of pharmacy, storeroom and external warehouse.
- Join with store supervisor or audit team in monitoring visit to check stock and safety storage at job site.
- Support store team to produce stock and inventory report for presentation to donor and project schedule
- Participate in mandatory principal training and meeting required by organization.
- Utilize stock data balance report to share for program and pharmacy procurement plan.
- Support procurement activity in sourcing medicine, pharmaceutical products and medical supplies.
- Assist to assess vendor's prequalification, products compliance and pre & post evaluation.
- Perform other procurement task as assigned by supervisor.
Qualifications:
- Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
- Analytical, organisational and transferring data skill in software program.
- Proficiency in inventory management software and MS Office tools is an advantage.
- Excellent communication in English (both spoken and written)
- Ability to speak/write Thai, Karen or Burmese would be highly appreciated.
- Strong negotiation and communication across the functional department and external organization.
- Proven experience in procurement, inventory management, or a similar role.
- Strong negotiation and vendor management skills.
- Knowledge of procurement regulations and best practices.
- Ability to manage works under single and multiple projects.
- Flexible to work outside normal working hour.
- Attention to detail and problem-solving skills.
- Ability to work under pressure and manage multiple priorities.
