Plan International Thailand is one of the leading child rights NGOs in Thailand and has operations throughout the country with an annual budget of nearly USD 4M per year. Plan International Thailand has a range of well established relationships with institutional donors, corporate partners and National Organizations and is looking for a highly skilled and motivated individual to maintain and develop these relationships and support the Plan International Thailand country program to continue to grow and benefit more children through a range of child-centered programs.

 

Plan International Thailand is recruiting for the following position.

 

Office Administrator (Based in Bangkok)

 

Roles:

The Office Administrator provides administrative support to the Plan Thailand office conducting and organizing administrative duties and activities including receiving and handling information. He/she ensures the efficient and effective management of the daily operational activities of the Country Office and providing administration support to Plan Thailand staff.

 

Responsibilities :

Office Environment

- Ensure tidiness, cleanliness and ready-to-use supplies are sufficiently stocked

 - Supervise and oversees office cleaning housekeeping

 - Manage office in – off site storage

 

Receptionist for the Country Office

- Welcome visitors, incoming call are properly screened, handled and diverted to concerned parties; manage

   the dispatch and distribution of incoming mail/faxes to its destinations/recipients

     -  Add new people to telephone chain and run updated lists for callers.

    -  Perform reception tasks and handles office communications

 -  Focal point person to contact with the Office Building

 -  Prepare and keeps track of CO staff time sheet for security reason

Arrange Domestic Travels :

Ensure requirements from both travelers and the organization are met.

- Conduct and maintains refund of domestic & international air ticket

- Assist Administrative Manager to arrange the hotel accommodation in Thailand

 

 

Logistics :

- Assist Administrative Manager to coordination of logistics support for Plan Thailand’s event and meeting

Petty cash:

-  Act as a custodian of the petty cash fund and foreign currency for the Country office; maintain proper

   accounting of fund consistent with Plan’s requirements and procedures; ensure that the funds is safely and

   properly kept and replenished timely basis, ensure not lack of fund is disbursed.

-  Receives cash for all refunds and issues the receipt

   -  Ensure that Plan’s Child Protection Policy and related procedures are adhered to in all aspects of work

Others

- Occasional written translation for Country Director

- Create vendor, issuance of local purchase order (PO) and MIGO SAP

- Reporting: Anti-terrorism report and Environmental Report

- Reporting: Staff travel report and visitor

- Support procurement of office supplies and service maintenance of equipment and building as needed

- Perform other tasks as assigned

Qualifications:

Bachelor Degree in any field

Minimum 2-5 years experiences working in Administration Function in multinational environment or NGO

Excellent English language communication skills

experience in handling correspondence and documents

experience in information and communication management 

Experience with computers:  word, excel, power point, internet.
